2009
February
- February 1 – Deadline for final recommendations for paper publications. This may have been done earlier.
- Nomination for paper awards from 2009 papers are due. There are a number of paper awards and each TRB group handles the award process differently. However, nominees are due in early February.
- TRB Must be notified of the intent to prepare a discussion of a paper. Discussions are written comments on papers that will be published in a TRR. Potential discussants will receive a copy of the final manuscript to prepare discussion in March. These comments are published width the paper and the author’s closure.
- February 15 – If your committee is rotating this year, your proposed roster is due to your staff person.
- February 15-20 – TRB send notification to all authors with the final decision on the publication of their papers. Final manuscripts are due March 15.
March
- March 15 – Final manuscripts (2009 papers) due to TRV Electronic Submittal Website.
- Mid-March – Committee appointment materials are prepared and sent via e-mail to prospective members)
April
- April 15 – Call for papers site opens for committee chairs and/or session organizers. After approval by TRB staff, the CFP will be posted on the TRB Annual Meeting website.
- Mid-April – Committee appointment acceptance forms due to TRB offices. Membership is not activated until acceptance form is received. If nominated members do not respond in one month, we will assume they have declined. Changes in contact information can (and should) be submitted at any time.
- April – Emeritus member nomination process should start in April. Electronic or paper ballots should be distributed to all committee members. By the nomination deadline, August 31, two-thirds of the committee members must have voted positively.
May
- May 1– Paper discussions due.
June
- June 1– Preliminary list of 2010 Annual Meeting sessions, committee meetings and subcommittee meetings are due. This preliminary list only needs to include session type (paper, poster or session), topic, and the sponsoring committee(s) or groups. Description of workshop must be submitted for approval and inclusion in the Annual Meeting list. June 1 is the absolute deadline for submitting workshops for the Annual Meeting. No proposals are accepted after June 1. Information must include workshop title, length (half or full day), hotel preference, and paragraph description.
July
- July 19-22 - TRB Joint Summer Meeting, Seattle, WA
- July 27 – Deadline for submission of the full paper in non-PDF format to the TRB Electronic Submittal Website.
August
- August 1 – Deadline for submission of the full paper in PDF format to the TRB Electrontic Submittal Website.
- August 3-6 – TRB staff assigns papers to the most appropriate committee – if you think we have misdirected a paper, please notify staff immediately.
- August 10-14 – Committees identify a minimum of three reviewers for each paper. Use the TRB Electronic Submittal Website to email the paper and instructions to reviewers. Reviewers will have until September 15 to submit reviews to the TRB Electronic Submittal Website.
- August 31 – Deadline to submit committee recommendations for new Emeritus Members.
September
- Mid-September – Staff will notify chairs of the maximum percentage of the committee’s papers that can be accepted for publication
- September 15 – All reviews must be received at the TRB Electronic Submittal Website.
October
- October 1– All paper presentation decisions muyst be made.
- October 1– All Annual Meeting session details are due. The required details include:
- Poster sessions- session title and a list of papers to be included
- Paper sessions: session title, session preside, and a list of papers in order of presentation
- Conference sessions: session title, session preside, and a list of speakers with full contact information (organization, mailing address, phone and e-mail) and their presentation title
- Workshops: session title, session preside, and alist of speakers with full contact information (organization, mailing address, phone and e-mail) and their presentation title
- October 2-6 – TRB staff meet to assign annual meeting session/meeting rooms. Rooms will not be reserved unless compete details were received by October 1.
- October 15 – Committee chair notifies all authors of paper status and provides reviewer’s comments. The notification can be generated automatically on the TRB Electronic Submittal Website.
- Late-October – TRB will send invitations to those authors, presenters and moderators. These invitations include session details, hotel, room, day and time.
November
- November 15 – Annual Meeting Final Program detail changes due (Example: moderators, presenters, or contact information) Notification of affected participants will be the responsibility of the session organizers.
- Paper re-review process begins. Authors who have been asked to revise their papers for re-review must submit their revised papers to the TRB Electronic Submittal Website.
- Annual Meeting DVD paper submissions due to the TRB Electronic Submittal Website. Papers are submitted for re-review or to correct minor problems.
- All special requests for room set-ups dues (Special requests include audio-visual equipment, and unusual room set –ups. This includes session and meeting rooms)
December
- Early December – Committee are required to rotate membership every three years. If this is your year, staff will notify you in early December

January
- January 10-14, 2010 – TRB Annual Meeting
